1. Who we are and what this notice covers
ConservaTex, LLC operates Insurance Pro Network (IPN). This notice explains information handled through IPN accounts, professional listings, claims, projects and related services. Contact ceo@conservatex.net with a privacy question or request. This notice is not a blanket consent to collect sensitive information or send marketing. Where a separate permission is required, the person providing the information must obtain it or IPN must request it in the relevant feature.
2. Information we handle
Account and professional information includes name, email, role, contact details, business memberships, directory fields, service area, license information, verification status and notification preferences. You choose the professional details you provide. Member-visible directory information can be viewed by other signed-in members, subject to profile visibility settings.
Work information includes property addresses, claim and policy details, client and other contact information, referrals, messages, notes, estimates, payments you record, inspection answers, photos, documents, sketches and reports. Uploaded media may contain device details, capture dates and precise location in embedded metadata. IPN can extract that metadata for documentation. Only submit sensitive information when authorized and necessary; remove unnecessary metadata before upload if you do not want it processed or shared.
Operational information includes authentication records, device and network information available to our providers, logs, security events, file activity and timestamps. Legal acceptance records identify the account, document version, server-recorded time and whether agreement occurred at signup or within the account. Paid-checkout records also identify the business, recurring price disclosure and checkout reference. Stripe handles card details; IPN stores billing identifiers, plan status and billing dates, rather than full payment-card numbers.
If you join a confidential preview, we record your invitation scope, account identity and email, typed signatory name, any business you name, the agreement version and content digest, and the server time of your affirmative acceptance. We use these records to manage preview access and establish the agreement, and retain them as reasonably needed for those purposes, legal obligations and disputes, subject to applicable law and the request process below. They do not authorize marketing or payment.
3. Why we use information
We use information to create and secure accounts, display professional profiles, organize and share authorized work, generate reports, process subscriptions, send service messages, troubleshoot problems, investigate abuse and respond to requests. We also maintain records of agreements and billing authorization. We do not use claim content to make an insurance coverage decision for you, and we do not sell personal information or use claim files for targeted advertising.
Optional marketing and SMS preferences are separate from account Terms. Service messages necessary to operate an account or subscription are not a marketing subscription. Where SMS is enabled, its own opt-in and opt-out instructions apply. Providing another person's information does not authorize marketing to them; obtain the permissions needed for the intended contact.
4. Who can receive information
Authorized firm members and invited claim collaborators can receive information according to IPN's access rules. Sharing a report, granting access or exporting a file makes information available to its recipient. Check the recipients and permissions before acting. Professional directory information is available to eligible members; a directory profile is separate from private claim files.
Our service providers process information needed for their functions. These include Supabase for authentication, database and file storage; Vercel for website hosting; Stripe for billing; and configured delivery services such as Resend for email and Twilio for optional SMS. When address geocoding is used, the property address is sent to the U.S. Census Bureau geocoder. Map views request OpenStreetMap tiles, exposing ordinary network information and the requested map area to that service. Public-adjuster license checks query Texas's public licensing dataset using the license number.
We may disclose information to comply with a valid legal obligation, protect rights and safety, investigate fraud or carry out an authorized business transfer with appropriate protections. A new operator would remain subject to applicable privacy obligations. We do not permit providers to use IPN claim files for their own advertising. Independent professionals you choose to work with control their own practices and records; contact them directly about copies they hold.
5. Cookies and information on your device
IPN uses cookies and browser storage needed for sign-in, security and application features. Offline work and queued uploads can remain in local device storage until synchronized or cleared. Use a trusted device for confidential work, sign out when finished, and clear site data before disposing of or sharing a device. Clearing local data can remove unsynchronized work. The current IPN application does not include advertising trackers. Linked websites and payment pages may use their own cookies, covered by their notices.
6. Retention, deletion and security
We keep account and work information while needed to provide the service, maintain shared business records, resolve disputes, prevent abuse and meet applicable obligations. We assess deletion requests against those purposes rather than promising one deletion deadline for every type of record. Canceled billing does not automatically delete an account or its work files. Backups and provider logs may persist for their retention cycle, and recipients may retain previously downloaded copies.
We use authentication, access controls and restricted storage to protect information. No system or transmission is perfectly secure. Limit sensitive uploads, check permissions and contact us promptly about suspected exposure. IPN is not offered as a system for protected health information under a HIPAA business associate agreement. Our hosting and processing may take place in the United States and other locations used by our providers, where privacy laws may differ from your location.
7. Your choices and requests
You can edit profile information and available visibility or notification settings within IPN. Email ceo@conservatex.net to request access, a copy, correction or deletion of your personal information, account closure, or information about our processing. If you are a client or property owner whose information was supplied by an IPN member, identify that business and the relevant record if known. Do not include unnecessary sensitive documents in your first message. We will verify identity and authority, coordinate with the business responsible for shared files when appropriate, and respond within applicable legal deadlines.
Depending on the law that applies, you may also have rights to portability, to restrict or object to certain processing, to withdraw a separate consent, or to appeal a denied privacy request. To appeal, reply to our response with Privacy appeal in the subject. We will explain applicable options and any lawful limits. We will not retaliate against you for exercising applicable privacy rights. Information handled solely in a business capacity can be treated differently under some privacy laws; this notice does not assume every user or every record has the same statutory rights.
8. Children and notice updates
IPN accounts are intended for adults acting professionally, not children. Do not create an account if you are under 18. Avoid uploading children's information unless necessary for authorized work and permitted by applicable law. Contact us if you believe inappropriate children's information has been provided.
This notice is version 2026-10-16. We will publish updated versions and bring material changes to members' attention. Acknowledging an updated notice does not replace any separate consent required for a new processing purpose. Contact ConservaTex, LLC at ceo@conservatex.net with questions or concerns.
